Sync Your Jobs to iPhone Calendar Automatically
SubcontractorHub pushes every appointment, site visit, and follow-up directly to your Apple Calendar the moment it's created. Owner-operators and small crews who live on iPhone and iPad never miss a job or double-book a day.

What Connects Between iCloud and SubcontractorHub
The specific data flows that eliminate double entry and keep both systems current without extra work from your team.
Two-Way Appointment Sync
Jobs and appointments you schedule in SubcontractorHub appear instantly on every Apple device connected to your iCloud account. Changes made on your iPhone — rescheduling a roof inspection, blocking time for a material run — sync back to SCH within seconds. No manual entry, no copy-paste between apps.
Crew Schedule Visibility
Each team member can connect their own iCloud account so their personal Apple Calendar always reflects their assigned jobs for the day. Foremen and lead installers see their schedule without logging into SubcontractorHub every morning. This is especially useful for crews running iPhone-only operations in the field.
Job Status Timestamps
When a job status changes in SCH — from scheduled to in-progress to complete — the corresponding calendar event is updated with a note and timestamp. You can review your day's timeline on your iPhone after hours and see exactly when each job moved. This creates a passive job log without extra admin work.
Conflict Detection Across Devices
If a new appointment is being booked in SCH during a time you already have blocked on iCloud Calendar, the conflict is surfaced before saving. This prevents overbooking crews who manage personal and business calendars in the same Apple account. Owner-operators running solo crews benefit most from this layer of protection.

Who Uses the iCloud Integration
Solo Roofer Runs the Business from iPhone
A one-man roofing operation takes calls, schedules estimates, and manages installs entirely from his iPhone. With iCloud sync, every appointment he books in SCH lands directly in his Apple Calendar alongside his personal events. He never has to switch apps to know what his day looks like.
HVAC Owner Shares Schedule with Office Manager
An HVAC owner connects his iCloud account while his office manager uses the SCH web app. When she books a new maintenance call, it appears on his iPhone Calendar immediately — even if he's on a roof or under a unit. The owner stays looped in without being tied to a desk.
Small Solar Crew Avoids Double-Booking
A three-person solar installation crew each connects their own iCloud accounts to SCH. The owner assigns jobs to specific crew members, and each installer sees only their scheduled installs on their own Apple Calendar. Double-bookings that used to require group texts to untangle are eliminated at the scheduling stage.
Owner-Operator Protecting Personal Time
An owner-operator who runs jobs Monday through Friday uses iCloud's conflict detection to block personal time — kids' games, doctor appointments — directly in Apple Calendar. When office staff try to schedule over those windows in SCH, the conflict surfaces before confirming. Personal and work calendars coexist without one clobbering the other.
Common Questions About the iCloud Integration
Why does SubcontractorHub use an app-specific password instead of OAuth for iCloud?
Apple does not offer OAuth for third-party calendar access the same way Google and Microsoft do. App-specific passwords are Apple's approved method for letting external apps access iCloud services securely. Your main Apple ID password is never shared with SubcontractorHub — the app-specific password is scoped only to the calendar service and can be revoked independently at any time from your Apple ID settings.
Does this work with iCloud Calendar shared across a Family Sharing group?
SubcontractorHub syncs with calendars inside your individual iCloud account, including any calendars shared to you via iCloud's sharing feature. We recommend creating a dedicated 'Work' calendar inside iCloud to keep SCH appointments cleanly separated from family or personal events.
What happens if I lose cell signal on a job site — will appointments still sync when I reconnect?
Yes. iCloud queues calendar changes locally on your device and syncs them as soon as connectivity is restored. SubcontractorHub also retries sync pushes on its end. In practice, appointments created offline on either side will reconcile within a minute of reconnecting to Wi-Fi or cellular.
Can each employee on my team connect their own iCloud account?
Yes, every SubcontractorHub user can connect their own individual iCloud account under their own profile. When you assign a job to a specific user in SCH, the appointment pushes to that person's iCloud Calendar — not yours. Each person manages their own app-specific password independently.
Is this the same as syncing through Apple's built-in CalDAV settings on iPhone?
No — the SubcontractorHub iCloud integration uses iCloud's CalDAV layer authenticated with your app-specific password. It does not require you to configure anything in your iPhone's Accounts settings. The sync is managed entirely from your SubcontractorHub dashboard, and your iPhone picks up changes through iCloud automatically.
