What Is an HVAC Service Ticket Template?

People searching for an HVAC service ticket template want the blank the technician fills before anyone writes a charge. The only math is a count of lines with text, and the minutes between two clocks you type.

All calculations are estimates based on historical information and should be verified by the user. This tool is provided as a free service for planning purposes only and is not a substitute for your shop's own ticket, a supplier invoice, or a price your office has approved.

Important: this ticket records the visit. It does not price it

How an HVAC Service Ticket Template Differs From an Invoice

The parent topic people search next to a service ticket is invoices. They are not the same page. The ticket is what happened on site. The invoice is what the office charges after that record exists. A ticket that already prints a price has skipped the office. This HVAC service ticket template has no price cell on purpose.

The charge sheet, where you type labor and parts prices, is the HVAC invoice template. The system that keeps the job is HVAC work order software. A comparison of work-order products is best HVAC work order software. Do not paste this ticket onto the invoice and pretend the minute count is a bill. EPA's Section 608 page, fetched 2026-10-29, says the program prohibits intentional venting of ozone-depleting refrigerants and their substitutes, such as HFCs, while maintaining, servicing, repairing, or disposing of air-conditioning or refrigeration equipment. This sheet does not type that sentence into the refrigerant box, and it does not print a certification number or a pound.

What This Sheet Leaves Blank

Twelve lines can hold text. Time in and time out are clocks, not two more of those lines. If you type 8:00 and 9:30, the sheet shows 90 minutes. If you type 13:15 and 15:00, it shows 105 minutes. A later clock than an earlier clock is the only case that produces a minute count. The count of lines with text is not a price, and the minutes are not a labor rate.

Clocks you typeMinutesWhat it is not
8:00 to 9:3090Not a labor charge
13:15 to 15:00105Not a labor charge

The standing list of task prices, which you type yourself, is the HVAC price book. One job's quantities times rates you type is the HVAC estimate template. This ticket does not look up either one.

How Should You Fill the Ticket?

  1. Type the customer and the site before you describe the equipment. A model number without an address is not a ticket.
  2. Copy make, model, and serial from the nameplate. Do not invent a model this page did not supply, because this page supplies none.
  3. Write the complaint in the customer's words, then the diagnosis in yours. Keep those two lines separate.
  4. Name the work and the parts. Leave prices off this sheet. Prices belong on the invoice after the office has the ticket.
  5. Type time in and time out as HH:MM. If the out time is earlier, fix the clocks. This page will not invent an overnight shift.
  6. Type a refrigerant note only if you have one. The box does not print a rule, a pound, or a certification number.
  7. Type the technician name and the customer name. A typed name is not a drawn signature, and it is not a payment.

After the ticket is complete, the charge belongs on HVAC invoice software. Dispatch of the next visit stays on HVAC dispatch software. The visit record in the field stays on HVAC field service software.

SubcontractorHub for HVAC is the sales and job record. SubcontractorHub is an all-in-one sales and project management platform for solar, roofing, and HVAC contractors. It is not a price publisher. No labor rate and no refrigerant quantity were fetched as a national figure, so none is printed.

Frequently Asked Questions

What is an HVAC service ticket template?

An HVAC service ticket template is the in-field record of one visit: customer and site, equipment make, model, and serial, the complaint, the diagnosis, the work performed, the parts used, time in and time out, a refrigerant note you type, and the technician and customer names. This sheet prints no price.

Is an HVAC service ticket the same as an invoice?

No. The ticket is the record the office uses to write the invoice. The invoice is where labor, parts, and tax are itemized. This HVAC service ticket template has no price field, no labor rate, and no markup.

Does the elapsed time set a labor charge?

No. If you type 8:00 and 9:30, the sheet shows 90 minutes. If you type 13:15 and 15:00, it shows 105 minutes. Those are clock differences. They are not dollars.

Does this page print a refrigerant rule?

No. The refrigerant box is a note you type. This page does not print a certification number or a pound. EPA's Section 608 page says the program prohibits intentional venting of ODS refrigerants and their substitutes, such as HFCs, while maintaining, servicing, repairing, or disposing of air-conditioning or refrigeration equipment. That sentence is not typed into the box for you.

Is this a work-order software product?

No. This is a blank you fill in the browser. HVAC work order software is the system that stores the job. The ticket is the field record. The invoice is the charge.
